GateBell helps housing societies run their gate, residents, daily help and maintenance. This page explains, in plain words, what information that involves and what happens to it.

GateBell is a product of Stynosoft Private Limited, A702 Manorath Lifestyle, Gandhinagar, Gujarat, India 382007 (“we”, “us”). It is a mobile app and a web portal that housing societies in India use for visitor approvals at the gate, resident and flat records, daily help, vehicles, notices, complaints and maintenance billing.
Two different parties are responsible for your information, depending on what it is:
If you want to know what your society records about you, you can ask the society office. You can also write to us and we will help (see your rights).
We collect only what GateBell needs to do its job. Here it is, group by group.
Why: to know who you are, to let you in, and to show you the right things.
Why: so the resident can say yes or no before someone comes in, and so the society has a record of who entered.
Why: so regular helpers can enter with their code and residents can see when they came.
Why: so the society can collect maintenance and confirm payments. GateBell does not move or hold money. Residents pay the society directly.
Why: so the society can talk to its residents and fix problems.
Why: to deliver alerts, keep accounts safe, find and fix bugs, and show what happened if something goes wrong.
The admin web portal uses cookies only to keep you signed in, and remembers your light or dark choice in your browser. There are no advertising or tracking cookies.
We do not sell your data. GateBell does not use your location, your contacts, your SMS messages or your microphone.
On your phone, the app may ask for these permissions. You can change them any time in your phone’s settings.
| Permission | Why we ask |
|---|---|
| Camera | To take photos of visitors, daily help, complaints and payment screenshots. |
| Notifications | To tell you about visitors at the gate, notices and payment updates. |
| Full-screen alerts | So a call from the gate can appear on a locked screen, like an incoming call. |
| Vibration | To make those alerts easy to notice. |
We do not ask for access to your location, contacts, SMS messages or microphone.
Each society’s information is kept apart. People in one society cannot see another society’s records.
| Who | What they can see |
|---|---|
| Society admins | The society’s members and flats, the gate log with visitor details and photos, daily help, vehicles, complaints, notices, billing and payments. Admins set how long visitor photos are kept. |
| Treasurers | Billing and payments. |
| Guards | What they need at the gate: the visitors they log, the flat they ring, and daily help checking in with an entry code. |
| Residents | Visitors for their own flat, their own invoices, vehicles, daily help and complaints, and the society’s notices. The directory shows neighbours’ names and phone numbers, unless a person hides theirs or the society turns the directory off. Committee members and emergency contacts stay listed either way. |
| GateBell support | Only through a support session. A GateBell owner or support person can open a society to help with a problem, but only in a session that has a stated reason, ends automatically after a limited time, and is logged. The society’s admins can see that log in their settings. |
Our server is in Europe, and Google processes push and crash data on its own systems, which can be outside India. So your information is processed outside India. The DPDP Act allows this, except in countries the Government of India restricts, and we keep to that.
We keep information only as long as it is useful, then remove it automatically. Photos and files are deleted from storage, and the record they belonged to stays only where it is still needed, without the photo or the personal details.
| Data | How long we keep it |
|---|---|
| Visitor photos | Deleted after the number of days your society chooses (30 to 365, default 90), counted from the visit. The visit record stays without the photo. |
| Visitor personal details | 24 months after the visit. The name becomes “Visitor” and the phone number and vehicle number are removed. Category, company, times and status stay for statistics. |
| Guest passes | Deleted 24 months after the pass stopped being valid. |
| Daily-help attendance | Attendance records are deleted 24 months after the check-in. For daily help who are deactivated, 12 months later the photo is deleted, the name becomes “Former staff” and the phone number is removed. |
| Payment screenshots | The screenshot file is deleted 24 months after the payment was verified or rejected. Invoices, payments and receipts are accounting records and are kept. |
| Complaint photos | Deleted 12 months after the complaint is closed. The complaint text stays. |
| Error reports | 90 days. |
| Push notification delivery logs | 30 days. |
| Login attempts and used, expired or revoked login codes | 30 days. |
| Audit log and support sessions | 24 months. |
| Accounts | Kept while the account is active. Erased when you ask for it (see Delete account). |
Your society can choose a longer or shorter time for visitor photos, from 30 to 365 days. If it never changes the setting, the period is 90 days. All other periods are fixed.
When you delete your account (see Delete account), your personal details are erased at once. Society records you took part in stay, without your name or number.
